2 Information We Collect

We collect information strictly necessary to formulate engineering estimates, review electrical distribution layouts, execute manufacturing orders, and furnish post-sales engineering support:

• Contact & Corporate Credentials: Individual name, professional designation, corporate entity name, registered office address, email address, telephone numbers, and GSTIN/tax identification numbers.
• Technical Engineering Parameters: Operating system voltages (e.g. 6.6kV, 11kV, 33kV), required transformer kVA ratings, short-circuit rupturing capacities (kA), feeder configurations, relay protection preferences, and CAD electrical single-line diagrams uploaded via RFQ forms.
• Commercial Records: Inquiries, quotation histories, purchase orders (PO), factory inspection approvals, delivery destination addresses, dispatch receipts, and payment transaction metadata.
• Technical Web Telemetry: Anonymized server logs, browser types, device operating systems, IP addresses, referring URLs, and pages accessed on our website to ensure site stability and protection against denial-of-service attempts.

3 Use of Technical & RFQ Data

The information submitted to MEPL is utilized strictly for lawful business execution, including:

• Conducting technical feasibility assessments and preparing accurate commercial price proposals.
• Verifying electrical clearances, busbar ampacity, and protection coordination against Indian Standards (IS) and International Electrotechnical Commission (IEC) codes.
• Executing manufacturing contracts, issuing factory acceptance test (FAT) inspection calls, and generating statutory dispatch documentation (such as GST E-Way Bills and commercial invoices).
• Facilitating direct communication between our senior electrical design engineers and your technical consultants.
• Complying with statutory reporting requirements under the Companies Act and Indian tax regulations.

4 Single-Line Diagram (SLD) & Technical IP Confidentiality

We commit that:

• Your engineering schematics will never be sold, leased, publicly showcased, or shared with third-party competitors or outside contractors without prior written consent.
• Access to uploaded diagrams is restricted strictly to designated internal electrical design engineers and production executives working directly on your proposal.
• If a tender or procurement negotiation does not culminate in a purchase contract, client technical drawings are safely archived in secure repositories or permanently purged upon formal written request.

5 Data Storage, Security & Retention

MEPL employs multi-tiered technical, physical, and managerial safeguards to protect client records against unauthorized access, loss, alteration, or disclosure:

• Transmission Encryption: All data transmitted through our web portal is encrypted using modern Transport Layer Security (TLS/SSL).
• Internal Access Control: Access to client commercial and technical databases is permission-gated and restricted solely to authorized operational staff.
• Record Retention Periods: Inquiries not resulting in contractual orders are retained for a maximum of 24 months to assist with subsequent re-quotation requests. Contractual, manufacturing, and FAT routine test certificates are archived for a minimum of 8 years to honor long-term equipment warranty and statutory auditing obligations.

6 Third-Party Sharing Limits

Information is disclosed externally only in the following limited, legally necessary circumstances:

• Logistics & Heavy Haulage Carriers: Sharing project delivery site coordinates and site contact numbers with verified freight transporters to coordinate physical delivery of bulky switchgear cubicles and transformers.
• Statutory & Law Enforcement Authorities: When mandatorily required under the Indian Information Technology Act, 2000, Goods and Services Tax (GST) laws, or under lawful summons from competent courts of jurisdiction in Kolkata.
• Accredited Testing Houses: Providing sample product serial numbers and technical test parameters to accredited laboratories (such as CPRI or ERDA) when customer contracts specifically mandate third-party witness testing.
